Required Qualifications

Ability to effectively and efficiently communicate with Team members, clients, potential clients and vendors; 

Active listener who uses logic and initiative to independently problem solve for solutions; 

Superior organization and time management skills;

Ability to sort, prioritize and manage client’s, potential client’s and vendor’s communications promptly;

Comfortable clarifying task priorities when given multiple assignments by different Team members;

Must be able to follow written and verbal instructions;

Detail oriented;

Comfortable with multitasking;

Works well under pressure and deadlines;

Must be proficient with Microsoft Office suite: MS Word and Outlook;

Must know how to use FamilySoft; 

Must know how search for a case and download pleadings on Odyssey, search for forms on WA Courts and where to look up court statues and rules; 

Experienced in case management/document management software (we use PracticeMaster case management software and Tabs3 billing software);

Experience in contemporaneous time keeping!!


Legal Duties

Work with attorneys to execute client’s Case Plan;

Draft Family Law documents/pleadings; such as, petitions, summons, declarations (client, third party, attorney), parenting plans, child support orders, child support worksheets, mediation and/or trial briefs/letters, trial preparation, etc.;

Prepare routine pleadings such as notices of appearance, notice of intent to withdraw, notice of unavailability, calendar notes, notes for trial setting, notices of depositions and subpoenas; 

Draft responses, replies and motions;

Prepare discovery pleadings; such as, interrogatories, requests for production and requests for admissions; 

Review discovery received from clients and/or opposing parties to ensure all requested information received; 

Prepare other discovery (such as, request for admissions) and investigative documents (such as, SDTs); 

Prepare documents for production, compiling Exhibits, trial notebooks, interpret and analyze reports; 

Research preceding cases relevant to a case, relevant statutes and court rules, court decisions, legal articles and other writings; 

Calendar and track all discovery, hearing dates, depositions, and other deadlines; 

Maintain electronic and paper files; 

Electronic filing of documents for Snohomish/King/Island/Skagit Counties (if applicable);

Verify and check citation to Washington State statutes, Washington Superior court rules, local court rules, and/or administrative rules whenever referenced in written communications and/or legal pleadings;

Proof your work before submitting it to the attorney and proof attorney’s work. 

Client Contact

Direct client contact via email or phone to gather information or relay attorney communication to client;

Contact with opposing parties and third parties; 

Consistent communication with clients throughout the case to keep them updated; 

Assist clients in answering interrogatories. 

Administrative Duties

Calendar deadlines, court hearings, attorney meetings with clients, potential clients, or opposing counsel;

Creation of new files and closure of old files;

Maintain attorneys’ calendar, organize and maintain clients’ hard and e-folders and assist with court filings and deadlines;

Answer phones, review and sort emails, prioritize and manage client communications promptly;

Organize incoming documents, sort and contact appropriate staff member for pickup if necessary;

Actively engage in legal Team daily huddles and weekly firm meetings;

Perform special projects. 


Marketing Tasks: 

Write at least three “Just a note” cards to colleagues, clients, attorneys, third party professionals, friends, acquaintances to enhance and solidify relationships;

Suggest thoughtful gifts and thank you to referrals and others who have gone out of their way to help us; 

Engage in Social Media in a positive and supporting role to the firm and to amplify the brand and amazing fun, vibrant Culture of the firm; 

On occasion, participate in podcasts, webinars, audio recording, videos and livestreams to help promote our message.


Additional Duties

Complete required billable hours;

Understands the value of task delegation to other Team members (typically legal assistants and admin staff) and to the client;

Creates a Team approach to get more done in less time;

Create efficiencies through developing and refining the firm’s systems including, policies and procedures, examples, templates, scripts, diagrams, work-flows, and videos; 

Analyze statistical information to understand how we can be of maximum service to our clients and the time we spend doing same;
