About the job
This position supports the International and Professional CRM division which handles the Sales order life cycle, including order receipt, processing, fulfilment, logistics and invoicing.

Order Processing
The accurate and timely processing of orders received via email, fax, EDI, and phone for Wholesale / B2B customers
Maintaining all backorders in accordance with customer requirements, inventory limitations and customer hierarchy
Processing "bulk" hold orders per direction from SA team and maintaining orders as PO's come in. Production managed to warehouse on the Sales Agent level.
Processing Show and Marketing/PR orders. Sending out samples to influencers, marketing departments

Reporting/Administrative
Supplying preliminary inventory reports to Inventory Management and Sales Admin Team via email for review and approval.
Maintaining shipping/tracking reports for large Pro Accounts. Providing customers with tracking upon request.
Daily and Weekly open sales order reports in tandem with Sales Agents and Warehouse Admin to keep multiple eyes on potential shipping misses.
Weekly credit card report provided to the Accounting team.
Creating new accounts/maintaining accounts in NetSuite; Work with Sales Analysts and Finance on new customer set up.
Issuing credits and RMA's, getting appropriate VP approval as outlined by company policy.

Invoicing
Invoicing orders in NetSuite, applying all applicable discounts and sending invoices to customers.
Working with US on credit card accounts ensuring that cards are charged prior to orders - shipping.
Closing out open items on orders for customers who do not accept backorders.

Website/Phones/Customer Service
Responding to customer inquiries and complaints regarding their online orders, issuing replacements and refunds.
Maintaining the orders, care, and info emails on website. Sending replacements and maintaining report of customer complaints.
Responsible for all incoming calls and managing traffic.
General inquires / Solicitations, product complaints.
Customer issues, return requests, replacement requests.
Responsible for warranty claims, processing requests to be sent to QC for approval and subsequent replacement

Buyers/Customers
Researching issues and complaints to ensure customer satisfaction and exceeded expectations.
Communication with customers/buyers regarding any issues; inventory allocations, requesting extensions, etc.

Skills & Qualifications
2 years of CRM Experience
Clear and effective communication - both written and verbal
Strong time management and organizational skills
Cross-functional collaboration
Proficient in EDI, Microsoft Outlook, Teams, Excel, Word, PowerPoint, ERP systems; NetSuite experience a plus
Sales order processing experience required
International sales order processing experience a plus
